01 / THE PROBLEM

Procurement and compliance leadership needed better decisions, faster, without standing up a new platform to do it.

The client's procurement and compliance divisions were carrying significant manual workload. Approval chains lived in email. Organizational Conflict of Interest reviews ran on tribal knowledge and ad-hoc spreadsheets. Supply chain leadership couldn't see whether contract and procurement goals were being met without someone manually pulling the report.

The obvious answer, a new procurement platform, came with significant overhead: new vendor onboarding, new security reviews, new training, and an extended change management cycle before the first decision got made faster. The client needed the outcome of digital transformation without taking on that overhead in parallel.


02 / THE APPROACH

We built it inside SharePoint and Power BI, on top of platforms already in place.

Covalent started with requirements gathering across procurement and compliance leadership to understand what the team needed, where the existing systems already had reach, and where the genuine gaps were. The analysis indicated that the platforms the client's IT and security teams had already approved, SharePoint and Power BI, could carry most of the work with the right architecture.

From there, we designed the OCI tool's architecture and user interface in collaboration with the client to ensure it would be usable and compliant with the organization's standards. The tool was built inside the client's existing SharePoint environment so it inherited the platform's permissions, audit trail, and identity model rather than requiring its own.

The right digital solution depends on the environment it's going into. For this client, the platforms already in place were the right starting point.

Covalent's data analytics SME then implemented automated approval workflows inside the tool, ran testing on both the tool and the workflows, and worked with the client through deployment in their environment. In parallel, we stood up Power BI dashboards for procurement and supply chain leadership so contract and procurement goals could be tracked without manual reporting.


03 / THE OUTCOME

$1.3M and 11,200 working hours reclaimed per year, with no new platforms onboarded.

The automated workflows saved the client 11,200 manual working hours annually and $1.3 million in costs. The OCI tool now supports the client in meeting Organizational Conflict of Interest requirements without the manual review overhead that previously gated each decision. Power BI dashboards give procurement and supply chain leadership a live view of contract and procurement goal attainment.

The approach also avoided new vendor risk and additional compliance reviews. The tool lives inside platforms that were already cleared, with a clear path to extend the suite as new workflows surface. Covalent is providing continuous training for the procurement staff and full documentation for the tool and its workflows, so the client can support and extend it after the engagement ends.
